PART 1 -   Updating the Master NetDocuments Software Installation Guide

This is the document we send to new clients detailing the steps required to install NetDocuments on their computers.  We also send it to current clients to update their expired installation files.

The Master NetDocuments Software Installation Guide template can be found within matter # 343 - WorkCloud Solutions Templates / NetDocuments / NetDocuments Guides.


STEP 1:        Ensure the download links for ND Click, ND Office and ND Mail are the latest versions from NetDocuments.  Go to support.netdocuments.com and click on 'Direct Download Links' (to the right of the screen under the 'Spotlights' heading).

  • To update the links for ND Click and ND Office (for Windows):

                                        1.    Right mouse click the .zip file links and choose 'Copy link'.

                                2.   Paste these links into the Master NetDocuments Software Installation Guide.

  • To update the link for ND Mail:

                                3.    Right mouse click the .exe file link and choose 'Copy link'.

                                4.    Paste this link into the Master NetDocuments Software Installation Guide.


  

STEP 2:        Insert the Windows Registry link (if it has been updated).  The Windows Registry file is entitled COMBINED – NetDocuments ND Office and ND Mail Registry Settings and can be found within matter # 343 - WorkCloud Solutions Templates / NetDocuments / Settings ND Registry.

                        1.      In NetDocuments, select the Windows Registry .zip file, click 'More' and then 'Deliver a secured link'.

                        2.       On the 'Deliver a Secured Link' page, select the new 'Link expiration date' (ie. 6 months from today's date), click the 'Lock version before sending' checkbox, hover over the name of the reg file in the 'Documents to be delivered' box and click 'Copy link'.

                        3.      In the Master NetDocuments Software Installation Guide, highlight the 'Click Here to Download' text, press Ctrl+K (to edit the hyperlink) and paste the link in the address bar at the bottom.  Click 'OK'.

PART 2 -   Sending the NetDocuments Software Installation Guide to Clients

As a free, value-added service to clients, WorkCloud sends clients an updated NetDocuments Software Installation Guide when the client's Custom Windows Registry link expires (usually every 6 months).

Note:    The client does not need to uninstall any existing versions of NetDocuments before installing the updated links.


STEP 1:        Check when the NetDocuments Software Installation Guide was last sent to the client (including version number) and when the client's Custom Windows Registry link expires (including version last sent to the client).  To do this, go to the relevant WorkCloud client file (the ND installation matter) and look in the 'ND Config' data collection. See screen shot below:

STEP 2:        For client's requiring updated links, save a copy of the Master NetDocuments Software Installation Guide as a new version to the client's 'Configuration Document' filter in their matter (File > Save As > ND Save).  The new version name should be '[Name of Client] – NetDocuments Software Installation Guide'.

STEP 3:        In the newly saved version of the client's NetDocuments Software Installation Guide, insert the client's logo (get this from Google) and change the version number (which should follow on from the previous version sent to the client).   Also change the 'Last Updated' date to today's date.

Note:  if the client is using a non-Windows operating system (ie. Mac), the link for the ND Click installation file will need to be updated.  Given NetDocs does not work well with Mac operating systems, it is unlikely our client's will be using the Mac platform.

STEP 4:        Update the Custom Windows Registry link to personalise it for each client.  To do this:

                        1.      In NetDocuments, download the Windows Registry .zip file – 'COMBINED –  NetDocuments ND Office and ND Mail Registry Settings'.  It will download as a copy .txt file to your default Downloads folder.

                        2.      Open the downloaded copy of the .txt file and edit the following details:

  • Client Name
  • Version Number (this should follow on from the version number previously sent to the client)
  • Updated (today's date)

                                        

                                        


                        3.       Rename the .txt file to change the document title to ND-REG-[Name of Client] and change the extension from .txt to .reg.  The version name can be 'Updating expiry date – no changes to settings'.

                            4.      Zip the .reg file and save the ZIP file as a new version to the Config filter in the client's matter (this should match the version edited in the .txt file).  Note:  this link will only work if it is sent to the client in a zip file.

                            5.      To update the Custom Windows Registry link on the client's copy of the NetDocuments Software Installation Guide:

  1. In the client's file in NetDocuments, select the new Custom Windows Registry .zip file, click 'More' and then 'Deliver a secured link'.
  2. On the 'Deliver a Secured Link' page, select the new 'Link expiration date' (ie. 6 months from today's date), click the 'Lock version before sending' checkbox, hover over the name of the reg file in the 'Documents to be delivered' box and click 'Copy link'.
  3. In the client's copy of the NetDocuments Software Installation Guide, highlight the 'Click Here to Download' text, press Ctrl+K (to edit the hyperlink) and paste the link in the address bar at the bottom.  Click 'OK'.

STEP 5:        Email a pdf version of the client's updated NetDocuments Software Installation Guide to the client  (to those listed as the 'Client Contact' in our client matter, together with any IT contact).  Use the relevant WorkCloud email template and the generic WorkCloud email signature.

STEP 6:        Update the fields within the ND Config data collection in our client matter to reflect the new version sent to the client.
